How are different expense categories treated for reimbursement?

In the United Kingdom, expense categories are treated in various ways for reimbursement, and many have specific requirements regarding taxability:

Grossed Up Expenses:

  • Fuel: Taxable unless it is part of a car rental agreement.
  • Mobile Phone: Taxable and must be grossed up unless business and personal use are clearly separated.
  • Internet: Taxable and must be grossed up unless charges are incurred during a business trip abroad.
  • Wellness and Healthy Lifestyle: All personal wellness and lifestyle expenses are taxable.

Expenses with Special Requirements:

  • Mileage: The statutory reimbursement rate is GBP 0.45 per mile for up to 10,000 miles annually. Beyond 10,000 miles, the rate decreases to GBP 0.25 per mile.
  • Per Diems:

- For overseas travel, supported employees may submit receipts for actual expenses or claim per diems as per the guidelines of HM Revenue and Customs (HMRC) for the country visited.

- Per diems are not allowed within the U.K., and actual expenses must be supported by a VAT invoice.

  • Medical Claims/Health Check-Ups and Related Items/Medical Insurance: Reimbursable if directly related to the supported employee's position and work, which includes eye exams. The maximum reimbursable amount for glasses frames is GBP 25.

Non-Taxable Expenses:

  • These include passports, work permits, visas, transportation, air travel, car rentals, accommodation, meals during business claims, client and staff entertainment (up to GBP 50 per employee for each event), computer equipment, office supplies, gifts, and coworking spaces, provided they are directly work-related.
  • Bank charges, foreign currency exchange for business trips, annual subscriptions to professional bodies, training expenses related to work, and trade show or conference expenses are also tax-free.

For all expense types, proper documentation such as VAT invoices is required for reimbursement, ensuring the expenses are directly related to the business activity.
